Adding unreconciled bank lines from Xero
The bank lines still waiting in Xero's Reconcile screen don't sync automatically. Here's why — and how to bring them in so your cash flow is complete.
Why this exists.Xero won't share bank lines still sitting in Reconcile— money that's hit the bank but isn't coded yet — so we can't pull them automatically. You'll see the gap when an account's Statement Balance and Balance in Xero differ. Bring that gap in below and your available cash — and your forecast — stay complete.
1 · Adjust the balance — quickest
Click Add your unreconciled transactions, then type the unreconciled total Xero shows against each bank account, do all your accounts, and hit Save. Your available cash is right in about two minutes.
2 · Upload the transactions — recommended
Longer, but more accurate and gives real insight — every unreconciled line comes in itemised so you can categorise it. If you have the time, this is what we recommend. The steps are below.
Uploading the transactions (option 2), step by step
In Xero, go to Accounting → Reports → Bank Reconciliation, pick the bank account, and Export ▸ Excel the Bank Reconciliation Summary report.
Do the same for every bank account you want in the tool.
Back here, click Add your unreconciled transactions and, under Or upload the transactions, drop all the reports in at once. Each one is read and filed to the right account automatically — no need to pick.
Categorise each line here (or leave them) — either way the at-bank balance adjusts automatically so your available cash is right. As you code a line in Xero and sync, its copy clears itself — no double-counting.
